Plan people on machines

Assign a shift to a machine, split time between machines, resize or remove an assignment, and understand crew warnings.

Last updated

Use the People and Machines views in Scheduling to plan who will work on each machine. Drag a person onto a machine, or a machine onto a person's timeline. Review the landing preview before you release it.

Before you begin

Select the correct plant. You need View job planning (scheduling.view) plus View employees (employees.view) or View shifts (shifts.view) to see crew. Creating, moving, splitting or removing an assignment also needs Plan jobs (scheduling.plan). Without People access the board stays in Machines view.

Crew planning uses employee records and their rostered shifts. It does not clock anyone in, start a production timer, assign production work or approve leave. Check leave separately: this view does not remove a person's roster because an absence is approved.

Assign someone from Machines view

  1. Open Scheduling at /scheduling/home and choose Machines.
  2. On the left, select People rather than Work. Find the employee by name or code.
  3. Drag the person onto the machine's timeline on the day you want.
  4. Read the preview. Whole shift uses their rostered shift on that day. Free part of shift uses the available stretch around the drop when other assignments already occupy part of it.
  5. Release to save. The machine's crew lane shows the person's name and planned times above its job lane.

With no rostered shift for the day, the preview says Outside shift, 8 hours. It starts at the snapped drop time and lasts eight hours. This is an explicit outside-shift plan, not a new shift pattern.

Ana Silva, E-001, Early shift, with Weld Bay WB-01 planned from 06:00 to 14:00 inside the matching shift band.
The shift band and machine block show when Ana is planned on Weld Bay WB-01.

Assign a machine from People view

  1. Choose People in the board header. Each employee has a timeline, with their rostered shift shown as a band.
  2. On the left, select Machines.
  3. Drag the machine onto the employee's lane and read the preview.
  4. Release to save. The assignment names the machine and its time window.

You cannot drop a production job onto a person. Place the job on a machine in Machines view, and plan the person on that machine separately.

Share a shift between machines

To move the remainder of an existing assignment to another machine:

  1. In People view, find the person's current machine assignment.
  2. Drag the second machine from the left panel onto that assignment at the handover time.
  3. Check the Splits preview and the machine it names.
  4. Release. The first machine keeps the earlier part and the dropped machine takes the rest.

Both parts need at least 15 minutes. Dropping on the same machine does not create a second assignment. If no free stretch of at least 15 minutes remains, the drop cannot create a new window.

Move or resize an assignment

In People view, drag the assignment block to move its start while keeping its length, or drag either edge to change its start or end. Times snap to 15 minutes. An assignment must last between 15 minutes and 24 hours.

Outside shift means some of the planned window is outside the employee's roster. A Double booked badge marks overlapping assignments already present for the same person. Bulk refuses a new write that would overlap another assignment. A saved plan is not proof that the person is available: resolve a conflict and check approved leave before using it to staff work.

Remove an assignment or undo removal

Use the assignment's remove control, shown when you hover or focus it. The confirmation toast names the person and machine and offers Undo for eight seconds. Undo creates the same planned window again; it can fail if access or the underlying records changed, so check the board afterward.

Removing crew does not delete the job plan on that machine. It can leave Auto-plan work without the crew window it requires.

Crew and Auto-plan

Auto-plan uses existing crew assignments; it does not create them. Its Only plan when crew is on the machine switch requires crew windows for all selected work. A machine configured to require an operator always needs a crew window, even with that switch off. A run must fit within a qualifying window.

Troubleshooting

  • People view is missing. Check employees or shifts view permission as well as scheduling access.
  • An assignment cannot be changed. You need Plan jobs and People access. A read-only assignment has no editing controls.
  • The preview is shorter than the shift. Other assignments occupy part of it. Read Free part of shift before releasing.
  • A person appears despite approved leave. Leave is not read by crew planning. Confirm staffing against the absence calendar.
  • The people or assignment list is truncated. Narrow the planning window or scope before relying on a complete staffing picture. Auto-plan refuses an incomplete crew read.
